Join our Local Advisory Network.

The Local Advisory Network is a group of experienced professionals (young and old) who donate their skills to strengthen local institutions who work with children living in poverty.

It’s an opportunity to join a network of people committed to creating longterm solutions to child poverty in Kenya. Not to mention, it’s a great way to meet other professionals with shared interests.

Members of the Local Advisory Network work with children’s institutions as:
  • Consultants: Coach organizations on short‐term projects from website design, creating marketing campaigns, setting up systems, to volunteer supervision, and record keeping.
  • Mentors: Commit to build a year‐long relationship with a director of a children’s home. Advise on matters pertaining to the institution’s organizational issues.
  • Facilitators: Lead trainings attended by the directors of our partner organizations.
Trainings are based on capacity building and the weekly topics emerge from the needs of our partners. (Examples: Social work, HIV/AIDS, Monitoring and Evaluation, etc).

We believe long-term change starts with strong local organizations.

To this end, we work with professionals from Nairobi and surrounding communities who build the capacity of local organizations by donating their professional skills.

Administrative Assistant at Management Sciences for Health in Nairobi, Kenya

Overall Responsibilities:
  • The Administrative Assistant provides general administrative services to the Leadership, Management and Sustainability Program in Kenya.
  • S/he will provide administrative and clerical support to project staff and local and international consultants. This will include the following: answering phones; filing; preparing materials and onsite coordination for workshops, supporting technical staff in logistical arrangements for LMS/Kenya activities, copying/binding/laminating documents; arranging courier services; typing correspondence; arranging and setting up for meetings and conference calls; drafting meeting minutes; and fielding inquiries.
  • In order to meet the demands of project implementation, s/he will have primary responsibility for responding to all ad-hoc requests for administrative assistance.
Specific Responsibilities:
  • Maintain general office systems including filing; coordinate timesheet submission; send, receive and distribute faxes; and photocopy documents as needed.
  • Assist in the logistics for project and workshop activities, and help set-up events as needed.
  • Help prepare materials for workshops.
  • Coordinate and prepare mailings, including production, photocopying, assembling, posting and courier/shipping.
  • Prepare documents, including word-processing, editing, spreadsheets, and data entry.
  • Maintain a thorough knowledge and understanding of project policies and procedures.
  • Organize mail, supplies, storage, and other office facilities.
  • Support any special projects, reports, and other duties as required.
  • Participate in workshops and meetings to ensure smooth logistics on the ground and payment of participants.
Qualifications:
  • Diploma or undergraduate qualification in Business Administration
  • A minimum of two (2) years of relevant administrative experience in supporting teams of professionals.
  • Fluency in spoken and written English and Swahili required.
  • Strong administrative, organizational, and written and verbal communication skills.
  • Organized and able to work well under pressure.
  • Ability to carry out independent work, to take initiative, and to use good judgment.
  • Strong PC skills to include knowledge of Microsoft Word, Excel, PowerPoint, Outlook, internet research and database use.
  • Ability to interact with professionals at all levels located in different parts of the world
  • Knowledge of USAID and other similar organizations a plus.

Overall Responsibilities:
  • The Communications Associate supports the CKE Coordinator and the project’s technical advisors in ensuring the smooth operation of CKE activities for the Leadership, Management and Sustainability/Kenya project (LMS/Kenya). This is achieved by coordinating communications logistics and exchanging programmatic information.
  • The Communications Associate is primarily responsible for the management of content on the project-related website and for promoting the website and the project’s activities via social media such as Facebook and Twitter. Additionally, s/he is responsible for the day-to-day coordination of communications-related activities ensuring that communications tasks are scheduled and carried to completion, comply with donor-specific regulations when appropriate, and that project documents are disseminated to targeted audiences in a timely manner.
  • S/he is also responsible for working with other LMS/Kenya staff on specific project activities, such as special event coordination and monitoring and evaluation reporting activities, when required. The Communications Associate is aware of, and adheres to, MSH’s Procurement Integrity standards in all activities.
Specific Responsibilities:
  • In collaboration with the CKE Coordinator and additional staff, identify, write and manage content for LMS/Kenya’s leadership and management website and social media (50% of effort).
  • Manage the technical document production schedule by tracking document deadlines, communicating with technical staff and copy-editing consultants, and coordinating with design and printing firms to complete the printing process.
  • Coordinate CKE-related events, such as a planned bi-annual leadership and management conference (15% of effort)
  • Coordinate and produce project newsletter
  • Assist in LMS/Kenya’s media relations efforts, such as developing and updating an LMS/Kenya media contacts list, disseminating press releases when necessary, and providing project information to journalists (5% of effort)
  • Coordinate knowledge exchange between LMS/Kenya and project partners, stakeholders, the public and additional MSH offices, projects and staff (5% of effort)
  • Document and archive LMS/Kenya activities, including writing copy and photographing project activities (5% of effort)
  • Other duties as assigned
Qualifications:
  • Bachelor’s degree in journalism, communications, marketing, or similar field
  • Strong writing, copy editing, and formatting skills in English required. Writing samples will be collected at time of interview and a writing/copy editing test administered.
  • Minimum 2 years work experience in communications and website/content management.
  • Experience using social media for organizational development
  • Additional education, experience or interest in public health or medicine preferred. This could include but not be limited to degree, diploma or certificate in a health-related field, or experience working for an organization that is health-related.
  • Demonstrated ability in computer skills for e-mail, word processing, databases, spreadsheets, and presentations (Microsoft Office applications preferred); ability to learn new software packages; photography and design skills very helpful
  • Competence to assess priorities, manage a variety of activities in a time-sensitive environment, and meet deadlines with attention to detail and quality.
  • Excellent coordination, administrative and organizational skills
  • Demonstrated ability to take initiative and to work proactively and independently
  • Must be a team player and able to maintain a flexible work manner and schedule
  • Excellent interpersonal skills and demonstrated ability to interact professionally with culturally diverse staff, clients and consultants
  • Sound judgment in handling confidential and sensitive matters with discretion
  • Some travel within Kenya will be required

Position: Transport and Customs Officer
Unit: Logistics
Duty Station: Nairobi

Purpose of the position To successfully process transport and custom related operations for MSF OCA Nairobi Supply Centre.

Major Duties and Responsibilities Customs:
  • Be responsible for the preparation of import/export and transit documents following the Kenya customs regulation and laws.
  • Receive international cargo and process outbound cargo from Nairobi to regional MSF missions;
  • Liaise with the field in regards to export documents and make sure the documents are endorsed on time;
  • Manage MSF interests (in the TG and others) through stock inventories and monitoring of stock requests;
  • Maintain an update guideline of customs procedures in Kenya;
  • Liaise with relevant authorities concerning custom and transport issues;
  • Together with the General Manager is the overall responsible for all customs issues; Transport:
  • Receive and process transport request
  • Take the overall responsibility of loading and offloading trucks at the warehouse
  • Responsible for the necessary paperwork (freight manifest, packing lists, insurance, donation certificates, etc.);
  • Receive, check and forward transport related invoices.
Knowledge, Skills and Experience
  • Proven experience in transport & custom management, preferably within humanitarian organizations
  • Sound knowledge of customs procedures, applicable laws and regulations;
  • Demonstrable familiarity with the KRA and related laws, procedures and practices;
  • Confirmed knowledge of KAA and KPA procedures, regulations and related laws;
  • Strong negotiation skills and diplomatic attitude;
  • Excellent computer skills mainly in Microsoft office (word, xls and access);
  • Well organized and able to prioritize workload, using initiative when appropriate;
  • Able to cope with stress;
