Your Charge

We are looking for an Executive Assistant to support the Global CEO and the Global leadership team.  You will drive internal communication efforts, design and deliver documents and reports, organize meetings and events, and provide administrative support to the leadership team.

This is an exciting and challenging role, an investment in your professional development. In this role you will work with the Global Leadership team who are based in different locations across the world including San Francisco, Nairobi and Kampala on various assignments including innovative projects.

  • Administrative support: Manage the CEO’s diary and appointment schedule by planning and scheduling meetings, conferences, teleconferences, and organize complex travel agendas. Provide administrative support to the leadership team. Process the CEO’s expenses and other administrative items.
  • Office management:  Ensure that the Global office has all that is required for seamless operations.  Partner with the P&C team to implement and maintain workplace policies as necessary.  Provide general support to the CEO’s visitors and help create a positive, friendly office environment.
  • Meeting and Events management: Responsible for the seamless coordination of Board meetings and Global Executive Team meetings. Plans, coordinates and executes virtual and physical Global Office all-team meetings, team building sessions, executive team retreats, and other events as needed.
  • Design documents: Develop and edit attractive memos, briefing papers, and presentations.
  • Performance tracking: Trends/insights analysis with inputs from the Global leadership team to support overall delivery of work-plans.
  • Internal communication: Working closely with the CEO and in collaboration with the Group Communications team, play a key role in internal communication. Ensures communication from the CEO is dispatched on time, takes notes during meetings and that responses to varied audience are met
  • Organize information: Develop and maintain a document management (physical and digital filing and retrieval system). Suggest efficient ways to run the Kenya Global office and troubleshoot malfunctions.

Education, Experience, Technical skills and attributes

  • Background. Undergraduate degree. 3+ years in a fast-paced working environment. Experience working in a consulting organization or similar environment handling multiple projects and clients. Background relevant to the operations of Living Goods gained in either the private, public or NGO sectors.
  • Analytical skills: An analytical mindset
  • Communication & Influencing: Experienced at preparing communication materials (PowerPoint, Word documents, email correspondence that meet Board-level standards) and effectively share these – both verbally and in writing in English.

You will keep the leadership team true to governance routines, are good at keeping calendars and timelines.  You keep a tight ship and up to date to-do lists. You like to get the details right.

ILRI seeks to recruit an Executive Assistant to the Director General. The purpose of this job is to provide professional support and assistance to the Director General by coordinating the day to day management of the Office of the Director General (DG) and proactively support the DG in management of his work plan and time.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.

Responsibilities
  • Coordinate the DG’s annual work plan: assist with monitoring and updating;
  • Manage the DG’s diary: allocate times for meetings and specific tasks.
  • Handle the DG’s email inbox and other correspondence: draft and prepare responses, provide feedback and forward requests to relevant people;
  • Oversee the DG’s travel schedule: plan and coordinate logistics for local, regional and international visits and meetings;
  • Organize internal meetings, take minutes and track progress on action points;
  • Assist the DG in meeting preparation: review agendas and minutes, highlight areas for attention and search for background information;
  • Support the DG in following up on priority issues and actions;
  • Maintain up-to-date database of the Director General’s contacts (institutional and personal);
  • Develop and maintain systems and processes to ensure proper and efficient information flows to and from appropriate parties;
  • Monitor and follow-up on assigned activities, ensuring quality and timely completion of tasks;
  • Maintain efficient filling and archiving systems for DG’s office documentation;
  • Train, develop and supervise administrative assistant and office assistant;
  • Interact with staff and visitors to the Office of the DG.
Requirements
  • First degree in Business Administration or related field.
  • At least 5 years experience in a comparable executive assistant/senior administrative position;
  • Demonstrated ability to handle high level administrative duties, excellent calendar management skills, including the coordination of a heavy meeting/travel schedule.
  • Must be proficient in MS-Office applications including Word, Excel, PowerPoint and Outlook;
  • Self-driven, with excellent skills in, planning, prioritizing, organizing and problem solving.
  • Excellent communication skills; written and verbal.
  • Ability to work under high pressure and meet tight and competing deadlines.
  • High level of initiative, problem solving, judgment and attention to detail.
  • Ability to exercise discretion with highest respect for confidentiality.
Terms of appointment: This is a Nationally Recruited Staff (NRS) position based at ILRI’s Nairobi campus and is open to Kenyan nationals only.

The position is on a 2-year contract renewable subject to satisfactory performance.

Summary of Activities

The Executive Personal Assistant (EPA) will act as the CEO’s first point of contact with internal and external publics.

Main Responsibilities

Position Requirements
  • Bachelors degree from an accredited university with a bias in Finance

Qualified candidates are invited to apply for the post of Senior Executive Assistant, in the UNICEF Somalia Support Centre in Nairobi. The successful candidate will be offered a Temporary Appointment for 364 days. Further extensions will be based on organizational needs, availability of funds and satisfactory performance.

Purpose of the Post:

Under the general supervision of the Policy Specialist, provide high quality administrative assistance to the Somalia Country Office Representative in his/her oversight role of managing a Country Office composed of a Support Center based in Nairobi plus seven other Zonal/field offices. Responsible for the coordination of the Representative's participation in/and scheduling of all external and internal meetings, including inter-governmental, parliamentary and inter-agency meetings, seminars, as well as official visits.

The incumbent will be expected to provide adequate support on a remote basis, given that the Representative is expected to spend 50% or more of her/his time in Somalia.

Major duties and responsibilities:
  • Support the Office of the Representative, including the Office of the Deputy-Representative, in coordinating activities, weekly meetings, and command conferences. Take notes to record discussions and prepare minutes and memoranda for the records. Maintain records and track the status of the Head of Office's action items, including his/her calendar. Analyze and collect information in support of milestone activities. Produce a variety of substantive and/or routine documents, correspondence, letters etc.
  • Make various administrative arrangements for the work of the Head of Office (and other officials visitors), including travel, appointments, meetings, official social events, press conferences, interviews. Coordinate the schedule of the Head of Office, arrange appointments, book meeting rooms, clear invoices for payments, produce/collect and disseminate documentation.
  • Organize and maintain the Office of the Representative, establishing filing systems, logging and tracking systems, and mail and contact listing. Maintains policy, confidential and general management files. Identify need for equipment and supplies. Establish and maintain collections of documentation, records and reports. Identify, request and screen materials for the collection. Conduct substantive searches and indexes materials.
  • Provide administrative support by conducting research, handling information requests, and performing administrative functions such as preparing correspondences and drafting meeting minutes; receiving visitors; arranging conference calls; and scheduling meetings, including meetings of the Country Management Team.
  • Respond to a wide variety of general and substantive queries for information from UN Agencies, governmental and non-governmental partners. Screen requests, respond if possible or refer to a wide range of possible sources (inside and outside the Office).
  • Select and compile background and briefing materials for meetings, travel, conferences, fundraising etc… for the Head of Office and other officials as requested.
  • Screen and review incoming correspondence (mail, email); collect background material; draft and sign correspondence, or clear drafts with supervisor.
  • Monitors and keeps abreast of Somalia, Regional and Global events and activities, particularly during travel/absence of the Head of Office, and notes items of interest for follow up.
Qualifications, Experience and competencies
  • At the minimum, completion of 'A' level Secondary School education, supplemented by some training in public relations, international relations, or other related discipline. A University degree in a relevant discipline is highly desirable.
  • At least seven years secretarial experience at a senior level, especially in publics relations, protocol, general office administration or international development cooperation preferably within the UN or similar organization, government or NGO.
  • Fluency in written and spoken English and Somali language required.
  • Proven experience in self-management.
In addition, a high level of proficiency is required in the following key competencies:
  • Excellent communication skills, both oral and written;
  • Proven teamwork ability as well as drive for results;
  • Analysis of numerical, verbal and other data from a diverse sources;
  • Planning, organizing, and coordinating processes and activities, including meetings/Workshops;
  • Computer skills in MS Office, especially Excel and PowerPoint, and the ability to use other office technology to create documentation, exchange and archive e-mail, maintain electronic filing systems;
  • Ability to summarize and draft complex reports;
  • Utmost discretion, tact and confidentiality;
  • Detailed knowledge and technical expertise in Office Management.
